Oil for a manual gearbox — how often to change it?
7 min readThe oil in a manual gearbox plays a completely different role from engine oil — it lubricates the gears, synchronisers and bearings, while carrying high surface loads. It works in less extreme conditions than engine oil, so it lasts far longer, but contrary to appearances it isn’t forever and needs changing too. We explain which oil to pick, why the class matters more than the brand, and how to tell it’s time for a service.
Why manual gearbox oil lasts longer than engine oil
Drivers used to changing engine oil every year are often surprised that the same oil in a manual gearbox can cover over a hundred thousand kilometres. The reason is simple: the working conditions are completely different. Engine oil is exposed to combustion by-products, soot, fuel and temperatures of 100–150°C, and on top of that works under constant load, so its additives run out quickly.
Gear oil in a manual is in a comfortable situation — it has no contact with exhaust gases or fuel, runs at a lower and more stable temperature, and its main job is lubricating the gears and synchronisers and carrying away heat. That’s why it ages far more slowly. It doesn’t mean it’s eternal, though — its interval is simply counted in tens of thousands of kilometres rather than single thousands.
Why gear oil ages
If a manual gearbox burns no fuel and doesn’t run at the same high temperatures as an engine, where does the oil wear come from? The answer lies in the mechanics. The gears and synchronisers work under heavy pressure, and with every gear change and while driving they rub against each other microscopically, shedding tiny particles of metal into the oil.
Over time the oil accumulates these metal particles, its performance additives run out, and the oil itself thickens and loses its properties. The result is worse lubrication, harder synchroniser work and accelerated gear wear. So although the oil in a manual lasts much longer than engine oil, it isn’t forever — and a neglected one can lead to a costly gearbox repair.
Which oil for a manual
Manual gearboxes require a gear oil of the right class (most often API GL-4, less often GL-5) and the viscosity specified by the manufacturer. The wrong class can damage the synchronisers — so the choice isn’t guesswork.
- API GL-4 or GL-5 class as recommended by the manufacturer
- The right gear viscosity (e.g. 75W80, 75W90)
- Never “by eye” — the wrong class harms the synchronisers
- Selected by VIN or the owner’s manual
GL-4 or GL-5 — the most important distinction
This is the heart of choosing oil for a manual and the most common source of costly mistakes. The API GL-4 and GL-5 classes differ mainly in the amount of anti-scuff additives based on sulfur and phosphorus. GL-5 has far more of them, because it was designed for drive axles and hypoid gears that carry enormous loads.
And here lies the trap: those aggressive additives in GL-5 can react with the soft metals the synchronisers in many manual gearboxes are made of — brass and other copper alloys. Pouring GL-5 oil into a gearbox designed for GL-4 can gradually “eat away” at the synchroniser surfaces, worsening their operation and shortening their life. That’s why swapping GL-4 for GL-5 “because it’s better, stronger” is often a mistake that ends with replacing the synchronisers.
The rule is therefore simple and the opposite of intuition: in a manual gearbox a stronger class doesn’t mean better. You have to pour in exactly the class the manufacturer requires. There are oils with a dual GL-4/GL-5 specification, approved for both uses, but the reference point always remains the requirement in your car’s manual.
What 75W80 or 75W90 viscosity means
Markings like 75W80 or 75W90 describe the viscosity of the gear oil, that is its thickness and behaviour at different temperatures. The principle is similar to engine oil: the number before the “W” (for winter) describes cold behaviour, and the number after it the thickness at the gearbox’s high working temperature.
A lower second number, as in 75W80, means a thinner oil that offers less resistance and eases gear engagement, especially when cold — which is why it is often factory-recommended in many modern, precise gearboxes. A higher one, as in 75W90, is a thicker oil that better handles heavy loads and higher temperatures. Contrary to appearances, thicker doesn’t mean “better” — pouring too thick an oil into a gearbox designed for a thinner one can make gear changes harder in the cold. Here too the iron rule applies: stick to what the manufacturer specifies.
How often to change it
The interval depends on the specific model and gearbox but most often falls between 60,000 and 120,000 km, and the manufacturer states it in the owner’s manual. Intensive city driving, a sporty driving style with frequent gear changes, and towing a trailer clearly shorten this period, and it’s then worth changing the oil closer to the lower limit.
A separate topic is gearboxes described as “filled for life”, increasingly common in new cars. As with automatics, that term refers to the life of the gearbox itself under assumed use, not a real absence of any need for service. Workshop experience is the same here: a gearbox in which the oil was changed even once mid-life runs quieter and longer than one run “maintenance-free” until it fails.
Bear in mind that the gearbox interval depends more on the character of driving than on mileage alone. A car quietly covering long routes wears out gear oil more slowly than one that battles daily in city jams with hundreds of gear changes. Likewise towing a trailer or driving in the mountains, where the gearbox works under load, shortens this interval.
Signs of worn gearbox oil
- Harder, stiffer gear engagement, especially when cold
- Grinding or grating during a quick gear change
- A whine or drone rising with driving speed
- Noticeable resistance when engaging reverse
- A gear “popping out” on its own under load
A whine and hard gears are typical signals that are easily confused with other drivetrain faults.
It’s worth reacting to these signs early enough. In the case of hard gears when cold, an oil change often solves the problem cheaply. Ignored grinding and whining, however, lead to worn synchronisers and gears, and repairing those already means dismantling the gearbox. Fresh oil of the right class is the cheapest possible insurance here.
What a proper change looks like
- Confirm the oil class and viscosity by VIN or the owner’s manual
- Warm the gearbox up slightly so the oil drains better
- Drain the old oil through the drain plug and check it for metal particles
- Fill with fresh oil of the right class up to the correct level
- Replace the drain plug seal and check for leaks
Frequently asked questions about oil in a manual gearbox
Do you really have to change the oil in a manual?
Yes, though less often than in an engine. Gear oil loses its lubricating properties over time and gathers metal particles from wearing gears and synchronisers. Even if the manufacturer describes the gearbox as “maintenance-free”, changing the oil once mid-life is cheap prevention that genuinely extends the gearbox’s life.
Gears go in stiffly when cold. Is it the oil?
Often yes. Oil that’s too thick and aged works worse at low temperature, so the synchronisers equalise speeds more slowly and gears engage with resistance, especially second gear in the morning. A change to fresh oil of the right class and viscosity can clearly improve how the gearbox works. If the problem persists when warm, however, the cause may be mechanical.
Can I pour in GL-5 oil instead of GL-4?
No, if the manufacturer requires GL-4. The stronger GL-5 oil contains more aggressive additives that can attack brass synchronisers. It’s one of the few cases where a “better, stronger” oil genuinely does harm. Stick exactly to the class in the manual, and if in doubt choose an oil with dual GL-4/GL-5 approval.
How much oil does a manual gearbox hold?
In a typical manual gearbox it’s usually about 1.5 to 3 litres, far less than in an engine or an automatic. The manufacturer states the exact capacity and it’s worth knowing when buying oil, but the change itself is therefore quick and cheap compared with other fluids in the car.
Can I change the gearbox oil myself?
Technically yes — it’s draining the old oil through the drain plug and filling the gearbox with fresh oil through the filler plug. The catch is that in many cars the filler plug is hard to reach, and the level is topped up “to overflow” with the car set up correctly. Without a pit or a lift and the right oil it’s easy to make a mistake, so it’s more convenient to leave it to a mobile service that arrives with the right oil and equipment.
